 MAKING A RESERVATION/ PAYMENT

Reservations can be taken over the phone, via email or through the website. Payment can be made via bank transfer, credit card (VISA, MASTERCARD OR AMEX) or PAYPAL (the latter incurs a 4% service charge)

By making a booking you agree to the Booking Conditions on behalf all of the members of your party.

We advise clients to book at least four months in advance. As we are a small agency, guide availability is limited. Also, many hotels we use have a limited number of rooms and therefore get booked up quickly. We will send you a quote with a day-by-day itinerary, which is valid for seven days and is based on current pricing.

CANCELLATION POLICY FOR DAY TRIPS

Once the tour is confirmed, any cancellation incurs a fee of 30% of the total amount. If the tour is cancelled within 24 hours of the departure time, the entire cost of the tour will be charged.

CANCELLATION POLICY FOR CIRCUIT TOUR AND EXTENDED TRIPS

Due to the bespoke nature of our business, TOMA & COE incurs immediate costs as soon as a tour is confirmed, in the form of hotel deposits and payments to our suppliers. Therefore we ask for a 30% advance payment when a tour is booked.

Up to eight weeks prior to departure, in the event of cancellation, TOMA & COE reserves the right to hold 10% of the total trip payment to cover incurred costs. The remaining amount will be returned to the client.

Eight weeks prior to departure, TOMA & COE will invoice for the remaining 70% to complete payment for the tour.

After this time, any cancellation of the tour will incur 30% of the total cost

If any tour is cancelled within 72 hours of departure, full payment is incurred.

TOMA & COE reserves the right to cancel any trip prior to departure for any reason whatsoever, including insufficient sign-up or logistical problems which may impede trip operations. The refund of all payments received shall release TOMA & COE from any further liability. Trip cancellation due to insufficient sign-up would normally occur a minimum of one month prior to departure.

TOMA & COE makes substantial payments to its suppliers far in advance of the scheduled departure date. If TOMA & COE is obliged to cancel a trip due to force majeure (war, labour strikes, civil unrest, earthquake, flooding, etc.) TOMA & COE will promptly refund the portion of the trip cost not already advanced to suppliers and will use its best efforts to recover and refund the balance as promptly as possible. However, TOMA & COE does not guarantee recovery of any or all of the advance payments made, and our use of best efforts to recover these payments will not include the institution of any legal proceedings in foreign jurisdictions.

TOMA & COE is not responsible for expenses incurred by trip members in preparing for a cancelled trip (e.g. non-refundable, advance-purchase air tickets, visa fees, equipment, etc.) or for any necessary additional arrangements should a trip member have embarked prior to the scheduled departure date.

TIER PRICING

Since numerous fixed costs are involved in our trips regardless of the number of participants, prices for our tours are organised on a sliding scale. This means that if more people join the tour, the price per person decreases, but it also enables us to take tours for just 2, 3 or 4 people, if that is our client’s wish.

COSTS NOT INCLUDED IN YOUR TRIP

International airfare, flights integral to the trip itinerary (except for specified tours); passports, visas, immunizations, insurance of any kind, medical costs, costs of hospitalization or evacuation from remote areas, alcoholic beverages (except where specified in the itinerary), laundry, excess baggage charges or other items of a personal nature; additional expenses arising from the delay or extension of a trip due to weather, political disputes, sickness, failure of transportation, or other causes beyond our reasonable control; and tipping (see FAQs). Please check the Trip Cost section of the Detailed Itinerary, which may indicate further exclusions.

 INSURANCE

TOMA & COE strongly recommends that all trip members obtain a short-term travel insurance policy covering baggage, accident/life, and trip cancellation. As well as covering the trip itself, cancellation insurance reimburses you for non-refundable air and land costs should you have to cancel the trip due to reasons covered by the insurance policy (personal or family illness, etc.).

MEDICAL

Our trips are not very rigorous, but certain activities are physically demanding. TOMA & COE assumes no liability regarding provision of medical care. Trip members are urged to check their insurance cover to ensure it is adequate.

In general, you must be in good health to participate in one of our tours; it is important that persons with medical conditions make these known to us when booking the tour.

Please read these Terms and Conditions before booking a tour with us.
